step-by-step guide to completing the Event Risk Assessment Form

A risk assessment is a process used to identify potential hazards in an activity or event and evaluate how likely and severe those risks are. It helps you plan how to reduce or manage those risks to keep everyone safe.​

Step 1: Basic Event Details

Fill in the top section of the form with the following:

  • Department/Service/Institute: e.g., Union of Brunel Students / Your Society Name

  • Event Title: Name of your event

  • Date: Date of assessment

  • Assessed by: Your name or the person completing the form

  • Event Organiser: Lead organiser of the event

  • Review Date: When the risk assessment will be reviewed (if applicable)

  • Manager/Supervisor for Sign Off: Usually your Societies Coordinator or relevant staff member
     

Step 2: Identify Hazards (Section 1)

Go through the hazard checklist and tick all that apply to your event. Consider:

  • Activities (e.g., sports, games, performances)

  • Equipment (e.g., electrical, inflatables, furniture)

  • Environment (e.g., crowd size, lighting, noise)

  • Catering, vehicles, temporary structures, etc.

  • Add any additional hazards not listed
     

Step 3: Assess Risks (Section 2)

For each hazard you ticked:

  1. Describe the hazard and its location

  2. Identify who might be harmed (e.g., students, staff, guests)

  3. List existing control measures (e.g., signage, training, PPE)

  4. Assign a Likelihood score (1–5)

  5. Assign a Severity score (1–5)

  6. Multiply to get the Total Risk Score

  7. Add comments/actions if further controls are needed

Use the scoring table to determine if the risk is Low (1–3), Medium (4–6), or High (8–25).
 

Step 4: Additional Assessments (Section 3)

Tick any other assessments that may be required:

  • Manual Handling

  • PAT Testing (for electrical equipment)

  • Display Screen Equipment

  • Off-Campus Activities
     

Step 5: Catering Considerations

If using external catering, ensure you have:

  • Trading licence

  • Alcohol licence (if applicable)

  • Food safety certification

  • HACCP documentation

  • Public liability insurance

  • Risk assessments and method statements

Step 6: Submit the Form

Once completed:
Attach it with your Events Form and send to the Societies Coordinator or Student Activities Team.
