How to Run an AGM/EGM

  • Annual General Meeting (AGM)

    • What is it?
    • An AGM is a compulsory yearly meeting for all clubs/societies to demonstrate transparency and accountability.
    • It allows members to hear from the committee about the past year and ask questions.
    • When?
    • Aim to host your AGM in January or February, before Spring elections begin.
       
  • What happens at an AGM?
    • Committee Reports: Each officer (e.g., Chair, Treasurer, Secretary) presents a brief overview of their activities, achievements, and challenges over the year.
    • Q&A with Members: Members can raise questions, feedback, or concerns to the committee.
    • Constitutional Amendments: Proposed changes to the society’s aims, structure, or roles can be discussed and voted on.
    • Hustings for Elections: Candidates running for the next committee give short speeches, outline their plans, and answer questions (more below).

       
  • Emergency General Meeting (EGM)
    • What is it?
    • An EGM is a flexible meeting used to deal with urgent issues outside the AGM schedule.
    • When to hold one?
    • Anytime during the academic year if:
    • A new committee member needs to be elected (e.g., someone resigns mid-year)
    • You want to amend your constitution before the next AGM
    • Format
    • Similar to an AGM but more focused. Must be advertised to members with reasonable notice and include an agenda.
