How to run Online Elections, Hustings and Committee Meetings

  • Online Committee Elections

    • When are elections held?

    • Elections take place every year in February/March to form the new committee for the following academic year.
    • All positions the club/society has will be uploaded to the election on Brunel Students website (https://brunelstudents.com/activities/teambrunel/committeeelections/)

    • Election Structure
    • Nomination Week: Students submit themselves for roles (Monday to Friday)
    • Voting Week: Members vote online (Monday to Friday the following week)
    • Results Week: Results are announced shortly after

    • Committee Responsibilities
    • Promote the Elections:
      • Use group chats, social media, or mailing lists to let members know about available positions.
      • Encourage nominations and explain what each role entails.
    • Ensure Eligibility:
      • Only members with an active Union Sport or Club Standard Membership can vote or stand.
      • Members must join at least four weeks before the VONC or election notice to vote.
    • Compulsory Roles to Elect:
      • Chair/President
      • Secretary
      • Treasurer
      • Optional: Welfare Officer, Events Officer, Social Media Officer, etc.
      • If a required role is missing from the election portal, email Student Activities before nominations open.

    • Key Election Rules:
    • Full details of the rules can be found on the webpage.
    • All elections must be run online.
    • Even if a candidate is unopposed, they must receive at least one vote to be elected.
    • Offline voting is not accepted under any circumstance

    • Hustings
      • What is it?
      • A hustings is a formal meeting where election candidates introduce themselves, explain why they're running, and answer questions from the audience.
      • It helps members make informed decisions by understanding each candidate’s vision and approach.
      • When to run one?
      • During your AGM or as a stand-alone meeting before voting opens.

    • Committee Meetings
      • Committee Meetings
      • Should take place regularly (ideally every 2–3 weeks) to manage club/society operations.
      • Include:
      • A shared agenda (sent in advance)
      • Assigned note-taker to minute the meeting
      • Action points with deadlines and responsibility assigned
