How to Administrate BUCS Fixtures

  • Match Packs

    • Collection: Must be picked up from Union Reception before heading to a fixture.

    • Contents Include:
      • Minibus info
      • Result entry instructions
      • Kit cleaning guidance
      • Emergency contact numbers
      • Physical team sheet
      • "Playing Under Protest" form and explanation
    • Purpose: To support teams with contingency info on match days.
    • Important: If you don’t collect a match pack, the Sports Development Coordinator (SDC) may be unable to assist with any issues that arise.
       
  • Joining a team
    • For you to be selected on a team sheet and to play in fixtures for Brunel, every individual must register themselves on BUCS Play and join the appropriate team
    • Please use this guide to help you do this either via the BUCS Play app or BUCS Play desktop (How to join a team - BUCS Play).
    • BUCS Play app
      • Download and log in to BUCS Play.
      • Tap the Search tab and set filters:
      • “I’m looking for”: Teams
      • “Of this sport”: select your sport
      • “Representing this institution”: select Brunel
      • Tap Find Teams.
      • Select your team, tap Join, complete your details, and submit.
      • Your captain or institution admin must then add you into the official squad, enabling selection for matchday sheets
    • BUCS Play Desktop (bucs.playwaze.com)
      • Log in via desktop.
      • Join your sport’s Community if not already a member.
      • Locate the Teams tile and search for your squad.
      • Click into your team, then Join, fill in your details, and submit.
      • Squad placement by captain or admin follows the submission, which enables match selection.
         
  • Changing Fixtures
    • If you are struggling to field a team, you must inform the Sports Development Coordinator by:
      • Friday 12pm for a Wednesday fixture
      • Monday 12pm for a weekend fixture
    • If these deadlines are missed, the SDC will not request a fixture change from the opposition. The team will then have to find a way to field a team for their fixture or concede a walkover.
    • If multiple teams from the same club are scheduled to play on the same day and one team is short on players, lower teams must provide players to fulfil higher-level fixtures.
      • Example: If the 1s, 2s, and 3s are all playing but the 2s cannot field a full team, players must be brought up from the 3s to complete the 2s squad.
    • As a result, the lowest team (in this case, the 3s) would be the one to concede a walkover if they cannot find enough remaining players.
       
  • Team Sheets
    • Must be submitted for each BUCS fixture by the team’s assigned captain.
    • Deadline: Can be uploaded up until the fixture start time listed on BUCS Play. After this, uploads are locked.
    • Submission Methods:
      • BUCS Play App (How to guide - Select Team Sheet - App)
      • BUCS Desktop Website (How to guide - Select Team Sheet - Desktop)
    • Alternative Method: Use the physical copy from the match pack if app/desktop doesn’t work. This will need to be completed signed and dated by the opposition as well. Return it to the SDC for manual upload.
    • Player ID: All players must bring student ID to matches in case the opposition requests to verify the team sheet.
    • Player eligibility –
      • Eligibility: Only registered Brunel students can compete in BUCS fixtures. Alumni are not eligible.
      • Team Movement:
        • Players can move up to play for higher-ranked teams.
        • Players cannot move down to lower-ranked teams once they have established normality for a higher team.
      • Normality Definition: A player establishes normality for a team if they have been selected for more than 50% of that team’s scheduled league fixtures for the season.
         
  • Entering Results
    • Responsibility:
      • The home team is responsible for entering the result.
      • In BUCS, both the Team Captain and Institution Administrator can enter scores, but only the Administrator must ensure results are entered and approved by the deadline.
      • In LUSL, scores are final upon entry—no approval is needed.
    • Who Can Enter Results:
      • Team captains can input scores after the match. Institution Administrators review and confirm results (BUCS only).
    • How to Enter Results on the App
      1. Go to the Fixture List
      2. Use the “To Play” filter to find upcoming or unscored fixtures.
      3. Tap “Enter result” on the correct fixture.
    • Types of Score Entry:
      • Basic – Simple match result (e.g., 2–1).
      • Additional – Includes league point-relevant details (e.g., rugby union bonus points).
      • Complex – Requires set-by-set or detailed input (e.g., tennis, badminton).

  • Paying Referees
    • No More Cash Payments
      • Moving away from paying referees in cash.
    • Use YesRef for Referee Management
      • YesRef is the new platform to organise, appoint, approve, and pay referees
      • Payments are processed immediately after the fixture is completed.
    • Referee Sign-Up
      • Some sports already have referees registered on YesRef.
      • For netball, hockey, and volleyball, referees must register on the platform to receive payment.
      • Officials can sign up here: https://www.yesref.com/sports-officials
         
  • Playing under Protest
    • Within the match Packs, a Playing under Protest form will be included.
    • If, before or during a fixture, you believe the opposition break any BUCS regulations, you may choose to play under protest by completing a Playing Under Protest (PUP) Form immediately upon noticing the issue, ideally before the match starts, or at the next natural break in play
    • Teams who knew in advance about a breach and still proceed without protesting are deemed to have accepted conditions and cannot later appeal on those grounds

  • Kit Process
    • Before Season Starts:
      • All kit must be signed out before the first fixture.
      • The individual who signs it out is responsible for it until it is returned.
    • Before Christmas Break:
      • Return all kit washed before the Christmas break.
      • Sign it out again before the first fixture after Christmas.
    • End of Season:
      • Return all kit washed after the final fixture.
    • Kit Audits:
      • Conducted each term.
      • Missing kit will not be replaced unless paid for by the club.
