Here is how to invite an external speaker

 

Step 1. Risk Assessment

  • Must be completed before inviting any speaker.

  • Based on the outcome:

    • Low Risk → You can proceed with booking.

    • Medium/High Risk → You must submit an online form at least 10 working days in advance.
       

Step 2. Approval

  • Final decision is made by the Chief Governance Officer (or their nominee).
     

Step 3. Changes to the Event

  • All changes must be reported in advance.

  • Late changes may result in cancellation.
     

 Considerations for Approval

Approval may be affected by the following factors:

  • Risk of unlawful speech, discrimination, or violence.

  • Health & safety or campus security concerns.

  • Speaker’s history of violating free speech policies.

  • Cost or feasibility of necessary risk mitigations.
     

 Scope & Responsibility

  • Applies to all events held on campus by:

    • Staff

    • Students

    • Societies

    • The Union

    • Third parties

  • Every event must be sponsored by a current student or staff member.
