How to Book Sports Facilities?
If your club or society wants to use any
Brunel sports facility
(e.g. indoor, pitches, sports halls) for an event, follow the process below:
Step-by-Step Booking Process
1. Complete the Event Form
Head to the
Brunel Students Activities Resources page
:

Complete the
Event Form
This includes details like:
Date and time of the event
Description of event
Expected number of attendees
Any equipment or facility needs
A
Risk Assessment
should be completed in conjunction with the event form and attached
2. Submit the Form in Advance
The form
must be submitted at least 6 weeks in advance
of your intended date.
This gives time for review, logistics, and scheduling with Brunel Sport.
Late forms may result in delays or rejection of your booking.
3. Coordination by the Sports Development Coordinator
Once submitted, the
Sports Development Coordinator
will:
Review the form
Contact the relevant team at
Brunel Sport
on your behalf
Include (CC) the person who submitted the form in all communications to keep you informed of progress or any changes
Important Notes
Do not contact Brunel Sport directly
. All bookings must go through the
Student Activities
team to ensure proper tracking, support, and Union approval.
Large-scale events
(e.g. tournaments, invitationals, multi-society events) may require additional steps such as a risk assessment, security approval, or Union oversight. Plan early!
If you are
unsure about which facility is right
for your event or have any accessibility/equipment needs, you can reach out to the Sports Development Coordinator before submitting the form for advice.
